Job Description 

Graduate Hall Coordinator 

The Graduate Hall Coordinator is a key paraprofessional member of the Residence Life and Housing staff. Under the direct supervision of an Area Coordinator, this position works closely with department staff to create a caring, vibrant, student-centered residential community. Staff working in our University Student Housing (USH) buildings will actively participate in a public-private partnership (P3) experience and collaborate with USH staff. The position is a 25-hour per week live-in commitment. The GHC will gain experience in staff supervision, student leadership advising, front desk mail operation coordination, and on-call/crisis management. The following description includes general duties and responsibilities. Additional expectations and specific procedures for completing these responsibilities may be assigned. 

The terms of employment for this position are from July 20, 2024- May 16, 2025. Specific pay dates and schedule will be communicated at the time of the offer. This is a 1-year appointment, with the ability to be reappointed for a second year based on job performance and evaluations.  

Staff Meeting and Training    

  • Attend and assist with the facilitation of the weekly Resident Assistants staff meetings.  
  • Attend regularly scheduled meetings with University Student Housing and West Chester University staff. 
  • Attend weekly Graduate Hall Coordinator staff meetings.  
  • Attend all monthly Division of Student Affairs meetings.  
  • Attend mandatory departmental in-service training and all-staff meetings.  
  • Attend all assigned training sessions including opening training (Summer and Winter) and on-going professional training (in-service).  

Community Engagement 

  • Further enhance the co-curricular experience of residential students by implementing the central Residence Life and Housing curriculum and engagement plan. 
  • Assist the Resident Assistants in planning, implementation, and assessment of programming. 

Community Standards 

  • Consistently enforce University and residence hall regulations within the community through limited counseling, educational discipline, and effectively following University conduct policy.   
  • Assist with the training of student staff in the student conduct procedures.   
  • Serve as a hearing officer for community standards to resolve minor Residence Life Policies. 
  • Conduct developmental conversations with students to address behavior. 

Administrative Responsibilities    

  • Serve as an “facilities administrator” for the respective community by assisting with aspects of the building’s housing operation: drop and go weekend, opening, closing, room changes, health and safety inspection, etc. The GHC will receive direction from both RLHS professional staff as well as University Student Housing (USH) management.  
  • Responsible for administrative matters related to operating the assigned residential area, which includes (but not limited to): maintenance, housekeeping, payroll, front desk operations (including package management software), and occupancy issues (i.e., roommate conflicts, mediations, room changes, etc.)   
  • Actively patriciate in the supervision of undergraduate student staff (Resident Assistants)   
  • Participate in bimonthly health and safety inspections of residential communities.  
  • Submit a weekly report to Area Coordinator every Friday by 10am    
  • Serve on at least one departmental committee.  
  • Assist with the submission of objective student evaluations, annual reports, weekly reports, and other written materials as requested by the Director of Residence Life and/or Area Coordinator.  
  • Maintain accurate records of student interactions, staff and personnel issues, and student/community concerns via Maxient, Adirondack (The Housing Director), StarRez and other relevant databases.  
  • Appropriately utilize a department purchasing card and complete monthly receipt reconciliations that align with university expectations.  
  • Assist with departmental-level projects and central office tasks under the direction of the Director of Residence Life and/or Area Coordinator. 
  • As a live-in staff member, the Graduate Assistants are required to work when the University is closed for snowy days or any day that would warrant the Graduate Office to send an email about GHC office hours.  
  • Keep the Director of Residence Life, Associate Director, and/or Area Coordinator(s) informed about activities, programs and concerns in the Residence Life and Housing Services areas.  
  • Keep appropriate USH staff apprised of relevant community concerns and facilities issues and collaborate on appropriate resolution. 
  • Receive directions concerning the student conduct process and student behavior infractions from the Office of Student Conduct. 
  • Receive a written evaluation completed by their Area Coordinator at least once during the academic year. 

 

Secondary Responsibilities 

  • All graduate assistants will have experience of working on various university committees and projects. Graduate staff members in some areas due to size of staff or student population may have additional secondary responsibilities to provide an equitable experience (i.e., U-Hall or Killinger). Some of the additional responsibilities include but not limited to: 
  • Community Standards Hearing Officer 
  • Residential Curriculum Development 
  • Residential Engagement and Residential Hall Associations 
  • Living Learning Community 

 

On-Call Duty    

  • Participate in the weekly graduate staff duty rotation as assigned.  
  • Respond to calls to provide emergency and other assistance to residents as appropriate.  
  • Collaborate with colleagues from Public Safety, Residence Life and Housing Services, University Student Housing, the Division of Student Affairs, and University partners as needed.  
  • Must remain in the West Chester area when on duty; the GHC is responsible for finding coverage if class (and/or class commitment) is outside of West Chester or does not permit staff members to leave to respond to an incident. The GHC must be able to respond within 15 minutes.  

 

Summer Assignment 

  • Returning Graduates have an option to extend their employment and apply for summer positions available.  
  • Assist with the summer operations in at least one of the following areas: camps and Conferences, new student orientation, academic success program (ASP), summer housing.  
  • Assist with the planning and development of paraprofessional staff training. 
  • Contribute to project-based work to enhance departmental operations. 

 

Office Hours  

Graduate staff members are expected to work for 25 hours weekly. If GHCs need to request time off, they must do so with their supervisor and be prepared to make up time missed. The position pays for 25 hours weekly. Inclusive of these hours are attendance at weekly GHC meeting (1.5 hours), RA staff meetings (1 hour), and office hours (21.5 hours). GHCs should work with their Area Coordinator to flex their schedule as other commitments may arise outside of scheduled office hours (i.e., Division meetings, all staff meetings, engagement events etc.).  

 

Mandatory Reporter  

 The person in this position is designated as a Campus Security Authority (CSA) and is required to report information about crimes in compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act also known as the Clery Act [20 U.S.C. § 1092(f)]. In addition, the person in this position is regarded as a mandated reporter regarding child abuse and neglect and other misconduct including sexual violence and harassment. This includes any information shared about any possible physical abuse, sexual abuse, or neglect of a person under 18. A mandated reporter is defined as a person obligated by PA law to report child abuse in situations where there is reasonable cause to suspect child abuse. All West Chester University administrators, faculty, coaches, staff, student workers, independent contractors, and volunteers are considered mandatory reporters. The PASSHE Board of Governors' Policy 2014-01-A requires training for all employees on Mandated Reporting of Child Abuse.  

 

Outside Employment 

Outside employment requires advance approval by the Area Coordinator and Director of Residence Life and may not exceed 10 hours per week including weekends. Requests for outside employment must be submitted in writing. Approval of submitted requests will be based on job performance. If job performance falls below expectations, then your supervisor has the right to rescind the original approval of outside employment.  

 

Academic Employment 

This offer is contingent upon you remaining in good student conduct standing and academic standing. Graduate staff are expected to maintain a 3.0 cumulative term GPA. You must submit your transcript from the previous semester and class schedule for the upcoming semester at the end of each term. A new class schedule must be submitted if you make any class/schedule changes.  

 

Internship Experience   

Students in the Higher Education Policy and Student Affairs (HEPSA) program must complete a 250-hour internship in the field over one semester/summer. Graduate students in this program may utilize Residence Life and Housing Services as an internship site, but approval from the Director of Residence Life is required. When counting towards the internship experience, hours from Residence Life and Housing Services must be gained from additional professional experiences outside of the general day-to-day responsibilities and scope of the position. “Double dipping” of hours will not be permitted. Internships are available to further develop a graduate’s professional development. 

 

Compensation  

The compensation package for this position includes:  

  • Stipend- The full Graduate Hall Coordinator compensation is approximately $12,800 broken down to a biweekly stipend. Stipend breakdown and payment schedule will be offered in the job offer. 
  • Housing- RLH provides several placements across both housing compliments. There are a variety of spaces offered to Graduate Hall Coordinates based on placement and areas of responsibility. Housing includes single apartments, shared apartments, and single rooms. Placements and responsibilities may change depending on university needs and staffing.  
  • A tuition waiver (excluding fees or any prerequisite undergraduate class or elective not accepted as part of your program) for full time study in a West Chester University graduate program, at 9 credits per semester. Staff are not permitted to take more than 9 credits per semester. Some programs may be covered differently depending on the cost of courses and credit requirements.  

 

Anticipated Schedule 

The Graduate Hall Coordinator is a graduate position through the academic year July 20- May 16. Residence Life and Housing responsibilities extend beyond the academic year and differ from other graduate positions at West Chester University. This includes a difference in expectations and compensation. The Graduate Hall Coordinator position requires extra weeks for training and development of all Graduate Hall Coordinators and conducting essential residence life functions i.e., RA Training, Student Move-In, and all building closings.  

 

Break Housing Period- When the Residence Halls and the University Offices are closed RLH will revert to break housing duty coverage. If students are on campus our team will continue to support and serve students in an emergency capacity and a condensed on-call schedule. This only includes break housing periods and major holiday which include: 

  • Thanksgiving- November 28, 2024 
  • Winter Break- December 20- January 3 

 

Even on major holidays, where the University is closed, Residence Life and Housing will have staff on call (with an expanded radius) to respond to emergencies on campus. The on-call schedule will be determined in advance, priority being given to those who volunteer. Staff should anticipate covering an equal amount of duty over breaks and holidays. Limited considerations will be made based on availability. Winter Break and Holiday coverage will be paid separate from the stipend as stand-by time (quarter). 

 

Graduate Hall Coordinators Contracted Schedule 

  • July 20, 2024- December 20, 2024: Fall Semester about 22 weeks.  
  • December 23- January 6: Winter Break. Please refer to the break housing period section. 
  • January 6, 2025- May 16, 2025: Spring Semester about 19 weeks. 
  • March 10, 2025- March 16, 2025, Spring Break: This position continues stipend and work coverage over spring break. While classes are not in session, the University and offices are functioning as normally scheduled. 

 

Minimum Qualifications: 

  • Bachelor's Degree 
  • Enrollment in a West Chester University graduate program 
  • Availability to work evenings, weekends, and holidays to support students' needs and respond to emergencies. 
  • Availability to participate in an on-call duty rotation and to respond on campus as required in emergency situations. 

Preferred  

  • Experience in residence life or residential education in a higher education setting 
  • Experience in a student leadership position and working with a team 
  • Experience developing programs and or events 
  • Experience in crisis management and/or conflict resolution
